Access rights, access tokens and key control on Otaniemi campus

To activate the access right to the token, the new staff member or visitor needs their Aalto ID. The Aalto ID is used as the username when logging into the Aalto self-service portal .
The new staff member or visitor picks up an empty token from lobby services and registers and activates the token in the self-service portal .
Visitor refers to a person who is not employed by Aalto and therefore receives no salary from Aalto, but needs access 91青青草 campus, equipment and/or databases. Hosts must report all visitors to HR, so all persons using the University's facilities can be registered.
A staff member or visitor that requires access to special zones, needs to create a request in the self-service portal for these zones. The manager can also initiate the request on behalf of the employee or visitor.
Log in to and select 鈥淪tart a new request鈥 on the front page. Under the option 鈥淧hysical access to Special zones鈥 you will find a list of special zones.
Notice! The access right to School of Chemical Engineering (CHEM) premises requires completing the CHEM work safety e-course. If the staff member or visitor needs access to CHEM premises, they need to complete the e-course in OpenLearning before the access can be granted. The system will automatically check and approve the completion of the course. If the system approves the completion of the course, the person in granted access to CHEM premises in addition to the basic access rights. Without an approved course completion, it is not possible to access the CHEM premises.
The terms and the visitor's position within the organisation are agreed in the Visitor Agreement. From December 2023, visitor access rights to the Otaniemi campus or other locations related to the latest and renewable Visitor Agreements can be defined as needed.
Aalto ID is tied to a valid Visitor Agreement and the dates marked in Workday. From December 2023, Aalto's email addresses attached to new and renewable Visitor Agreements will gradually be assigned as visitor email addresses, for example: ext-forname.lastname@aalto.fi.
The access rights, like the Aalto ID, are linked to a valid Visitor Agreement, with dates recorded in Workday.鈥 When the visitor's contract is valid, the visitor can get an access token (e.g., for electronic locks at main doors), similar to an employee. Access rights may vary between buildings. Please contact your building's key responsible for further instructions on obtaining a temporary visitor's pass (and/or mechanical keys) to the campus, which must be approved by the host鈥檚 signature.
The end date of the contract registered in Workday will automatically terminate the access rights. The manager reminds the person of returning the empty token to the lobby services, so it can be reused.
