Records Management Plan TOS

Aalto University Records Management Plan (tiedonohjaussuunnitelma) TOS is a set of guidelines for registration, processing, and retention of Aalto University's documents and comparable information. The Records Management Plan TOS contains detailed information on handling, registration, publicity, retention periods and personal data nature of University's documents and data.

What does the TOS include?

The records management plan TOS presents the university's activities divided into four main tasks and their subtasks. The TOS contains information related to the processing of documents and comparable information created as a result of these activities.

The TOS shows the documents and information generated in the organisation, their registration system (e.g. SAHA, Workday, Sisu, etc.), publicity according to the Act on the Openness of Government Activities, retention periods, personal data information and possible additional information related to the processing of the document.

TOS helps the university organise and guide the information that is generated, but also gives the information seeker additional information about the materials generated in the university's operations and helps them find the information they are looking for.

The records management plan is built issue-oriented, i.e. it does not directly follow the university's division of units, but approaches information on an issue basis through tasks.

Why does the university have TOS?

The Records Management Plan meets the requirements set for officials by the Archives Act (831/1994) for an archive formation plan and also guides information that is stored in the university's document and records management system (SAHA), while ensuring that the retention schedule is in accordance with good data management practice (Act on the Openness of Government Activities 621/1999).

Under a decision made by the Provost on 9 February 2016 the Aalto University Records Management Plan is applied retroactively to all material collected in accordance with the Records Management Plan from 1 January 2010 and to the extent that it is applicable, also to materials of the founding universities.

Maintenance of the Records Management Plan TOS

Maintenance of the Records Management Plan is a responsibility of the University's records management services. TOS is updated if there are changes in the university's operations. The Records Management Plan has been prepared together with the University's service organisations and process owners and any changes are agreed in cooperation with the owners of the processes. 

Not all information generated at the university can be comprehensively identified in the TOS. If you notice a deficiency in the information in the TOS or if you have any update suggestions, please contact records management services by email arkisto@aalto.fi
