Changes to an ongoing implementation in Sisu for teachers
Adding students to an implementation
The same instructions apply as before the start of an implementation
Editing teaching group preferences of students
If registered students have already been approved for an implementation and you are assigning them to a teaching group that has no seats available, you will get an error message when you try to confirm the changes: "The student selections cannot be carried out because there aren't enough available seats in the groups preferred by the selected students".
- In such cases, the number of seats in the teaching group needs to be raised (see the Structure tab under the Implementation information tab) in order to add the student.
- You can raise the number yourself if you have been granted Teacher (editing) -type permissions in Sisu upon separate application. If not, contact your school’s Learning Services (contact details at bottom of page).
In your implementations, if students often want to switch teaching groups after their registration has been confirmed, then you should allow them to do so (i.e. allow them to edit teaching groups after the confirmation).
Instructions
Cancelled teaching groups
If students’ registrations for an implementation have already been confirmed when a teaching group is cancelled, you have two options:
- You can allow the students to edit their teaching groups after the confirmed registration and ask them to update their group preferences.
Instructions - You can change the groups of those students who were in the cancelled group by clicking the three-dots menu (...) on the right, and then Edit the student's teaching groups.
The teaching group must be cancelled in both Sisu and in Asio, the facility booking system. If necessary, contact the Learning Services of your school for help with cancelling the teaching group (contact details at the bottom of page).
Marking students as discontinued in an implementation
A student’s participation in an implementation should not be discontinued in Sisu unless the student requests it or submits a notification concerning it.
- The only exception is if the course description requires students to attend the first lesson to confirm their participation.
- In such cases, students who fail to show up for the first lesson may be moved to the Discontinued category in Sisu. The teacher must ensure that students are aware of the attendance requirement and once their implementation participation has been discontinued, the affected students must be informed of the grounds for the discontinuation.
- In Sisu, students can discontinue their participation in an implementation themselves, which is the primary discontinuation method.
- However, nothing obliges the student to do so.
- If you have a large number of students who do not seem to be actively participating in your implementation, you can send them an email asking if they have actually dropped out. Below is a template you can use if you wish. Please adapt the template for your own implementation.
Dear student in my course [name of course],
I have not seen you in class or turning in assignments [change the activity as appropriate] lately. Have you decided to drop out or do you have some other reason for not actively participating in the course? Please remember that you can contact me by [add preferred method of contact] if you have any questions about the course.
If you have decided to drop the course, please mark yourself as discontinued in Sisu (see ) or notify me by [add preferred method of contact] so that I can do it for you. Knowing the number of students who plan to complete the course makes my work easier. Thank you for your help!
Kind regards,
[Name]
- If your implementation has a maximum number of participants and uses standard registration, you might find Sisu’s extended cancellation period useful. See the instructions on how to set that up:
Instructions - When extended cancellation is used, students have more time to cancel their registration and do not have to wait for the teaching to start before dropping the course.
If you get a discontinuation notification from a student saying that they want to drop a course, you can move the student to the category Discontinued.
- Select the applicable student from Registered students > Confirmed registrations tab.
- Click the three-dots button (...) and select Mark as discontinued.
- The Discontinued tab shows who performed the discontinuation – the teacher or the student.
Students who discontinue their participation in an implementation that uses registration with direct confirmation cannot register for the same implementation again.
- Should such students need to return to participate in the same implementation, an administrative or other person with editing permissions for the implementation must add the student to the implementation again.
- In such situations, you can ask the student to contact their school’s Learning Services.
