Document publicity description for Aalto University: This is a document publicity description as defined in section 28 of the Act on Information Management in Public Administration (906/2019), designed to describe the data sets generated and used at Aalto University as it fulfils its mission and goals.
For the university, information is both a key result of and a precondition for operations. Producing and distributing scientific information for society is an integral mission for us.
Aalto University processes a very extensive pool of information. We are a large organisation with many missions and goals. Under law, our missions are research, education and societal interaction. All of them involve producing, collecting, using and distributing information.
With our information footprint, we want to:
- provide an overview of what information is processed at the university and how
- help individuals in finding key information, documents and information systems
- give advice on where to get support and additional information and help Aalto members in specifying their document requests.
The information footprint serves also as document publicity description as defined in section 28 of the Act on Information Management in Public Administration (906/2019) and as such, is designed to describe the data sets generated and used by Aalto University in the fulfilment of its statutory missions.
Information management policy: how and why we collect information
The Aalto University cornerstones in processing information are responsibility, openness, collaboration as well as creativity and courage. In accordance with our strategy, we aim to produce and use information in a way that promotes the goal of building a sustainable future.
The information footprint is divided into information categories based on the overall view presented in the university strategy: our strategy presents our missions and goals as well as the enablers of our success in a concise form. We offer information with emphasis on the data, information sources and systems that are on the one hand, central for our organisation and operations, and on the other, most frequently sought after by members of the university community and others interested in the university.
We encourage the university community to make use the many university services and information systems that provide open access to information produced or used by the university.
We process personal data in accordance with the data protection regulations.

The university’s electronic document and records management system contains information on the documents generated when dealing with official university matters and on related measures.
