Certified documents after admission results

During the application phase, applicants upload scanned colour copies of their educational documents to our online application system.
Once admission results are published, admitted applicants must submit officially certified (attested) educational documents by the given deadline. The deadlines are indicated below.
Conditional admission
Admission is conditional until we receive the certified educational documents.
Conditionally granted study right will be cancelled if the certified documents; or documents according to the country-specific document requirements; are not received in the required manner by the deadline. The integrity of electronic documents uploaded to the application system is verified by comparing them to certified copies.
Required educational documents and their deadline
Read below which documents are required and what is the deadline for their arrival at Admission Services.
- Certified copy of a Bachelor's degree certificate if degree is completed.
The degree must be completed by 31 July 2025.
Provisional degree certificate:
In the case there is delay before the final degree certificate is issued to graduates, provisional degree certificate can be accepted. A provisional (or temporary) degree certificate can be issued to a student who has graduated by successfully completing all the studies included in the degree. The provisional degree certificate must include same information than the degree certificate would, that is the name of the student, the name of the degree, the name of the institution awarding the degree, and the date the degree was awarded. A statement of completion of the studies is insufficient. The date of graduation must be by 31 July 2025. - Original official transcript of study records with original stamps and signatures or a certified copy of it (of the degree granting eligibility to apply).
- Official translations if the degree certificate and the official transcript of records are not in Finnish, Swedish or English. Read carefully the instructions for official translations below.
- If you demonstrate your English language proficiency with another higher education degree, a certified copy of the degree certificate and transcript of records. The degree must be completed by 31 July 2025.
- If you demonstrate your English language proficiency with secondary education, a certified copy of your secondary-school final certificate. If your education was completed in an EU/EEA country, Switzerland or South Africa, English as the language of instruction must be indicated unambiguously on the certificate. If the language of instruction is not indicated on the certificate, submit also an official document issued by the institution clearly stating the language of instruction.
- The deadline for the officially certified educational documents is 15 May 2025 (at 15.00/3pm, UTC +3) for applicants admitted from 9 to 13 April.
- For applicants admitted from 14 April to 12 June, the deadline is 15 August 2025 (at 15.00/3pm, UTC +3).
Conditionally granted study right will be cancelled if certified documents; or documents required according to the country-specific document requirements; are not received in the required manner by the deadline.
The deadlines are the same to all applicants and cannot be extended.
Applicants with an incomplete degree
If you applied with an incomplete degree and were admitted between 9鈥13 April, there are two different deadlines for the certified documents:
- 15 May 2025 (at 15:00/3pm, UTC +3) for the certified copy of transcript of study records (and its official translation, if it is not in English, Finnish or Swedish) and
- 15 August 2025 (at 15:00/3pm, UTC +3) for the certified copy of degree certificate (and its authorised translation, if applicable). The graduation date may not be later than 31 July 2025.
In case the required documents are not received by the deadline, or if you are not able to graduate by the deadline, the conditionally granted study right will be cancelled.
Please note that if your degree is not yet complete, your transcript of records does not need to be final by the May deadline. A certified copy of your current transcript, including all studies completed to date, is sufficient.
The documents must be in Finnish, Swedish or English. If the original document was issued in another language, an official translation of the document must be submitted.
The translation is official if it has been done by the higher education institution that awarded the degree or by a certified translator (authorised translator). The translations must have the certified translator鈥檚 original stamp and signature.
The official translations must be either original or certified copies of the original documents. Unofficial copies of the translations are insufficient. The official translations must be accompanied by certified copies of the original documents in the original language. Translations by themselves are insufficient.
In Finland, the Finnish National Agency for Education (www.oph.fi/en) maintains a of authorised translators who are based in Finland.
Please note that application documents will not be returned.
Country-specific document requirements
If your degree is completed in any of the following countries, you must adhere to the country-specific document requirements:
Australia, Bangladesh, Cameroon, Canada, China, Eritrea, Ethiopia, Finland, Ghana, India, Indonesia, Iran, Ireland, Kenya, Malaysia, Nepal, New Zealand, Nigeria, Pakistan, South Africa, Sri Lanka, Sudan, the United Kingdom or the United States.

Note that there is a country-specific requirement also for degrees completed in Finland. Generally, certified copies of educational documents are not required for studies completed in Finland. However, please read the instructions carefully as there are some exceptions.
If the country-specific requirement applies to only one document (e.g. transcript of records), you must submit the rest of the educational documents (e.g. degree certificate) according to the general document instructions for certified documents outlined below.
If the country-specific document requirements do not apply to your degree, you must submit your certified educational documents according to the general document instructions provided below.
General document instructions
If your degree is not issued in one of the above listed countries that have country-specific document requirements, you can submit your educational documents according to these general document instructions.
We may be able to accept electronic documents if they have been submitted either through a recognised verification service or via email by the issuing institution (options 1-3).
Electronic documents may be accepted only if there is no country-specific requirement or if the requirement specifically permits electronic documents.
We reserve the right not to accept any electronic documents if there is any doubt about the legitimacy of the service or the identity of the sender. We will not pay any fees that may be charged for verification.
If the options 1-3 are not possible, you can submit officially certified physical hard copies of your educational documents (option 4).
If your institution uses an electronic credential service or there is a national register of educational documents where you can share your official educational documents, share your educational documents directly from the service 91青青草 University (admissions@aalto.fi). The document must be sent directly from the service 91青青草 University, do not download the document first.
Please contact your own institution in any questions on how to access the service that your institution uses and refer to the services鈥 own instructions for how to use each service. Aalto University cannot provide guidance on the use of the services.

If your university only offers either an electronically verified degree certificate or transcript of records, the other document must be submitted by one of the other approved methods.
If the documents are not in English, Finnish, or Swedish, official translations are required (see Instructions for translations).
Aalto University may accept electronic educational documents with a verification code that allows the document and its contents to be verified by an electronic verification service used by the degree awarding institution, if:
- The verification service is on the degree awarding institution's public website OR,
a link to a third-party service is on the institution's public website. - The entire document can be verified in the service. The service must display the same content as the document submitted with your application 91青青草 University.
We do not accept the verification service, if:
- the recipient has to pay for the verification.
- the recipient needs to download any software.
- the recipient needs to send an email to the awarding institution or to the verification service.
- the service verifies only parts of the document.
- We cannot guarantee that we will accept verification services in languages other than English, Finnish or Swedish.
If the electronic document verified by the service is not in English, Finnish or Swedish, you must submit an official translation of the original document as well.
Send your electronic documents with a verification code to the Admission Services via email at admissions@aalto.fi.
We reserve the right to evaluate each electronic document and verification service case by case. If we cannot verify the required information, you must submit the document by other approved methods.
If your university does not use a verification service for sharing your educational documents, you can request your institution to email your educational documents in PDF format directly 91青青草 University Admission Services at admissions@aalto.fi. Your university can use our secure email service.
A document can be accepted if the following requirements are met:
- The email must be sent from an official email address of the institution.
- The sending email can be confirmed on the institution鈥檚 public website. If the website is not in English, Finnish or Swedish, or if the address is not listed on the website, we cannot verify the sender and do not accept the document.
- The sending email must belong to a person or office that is responsible for issuing official educational documents, for example: registrar鈥檚 office, controller of examinations, awards and graduation department etc.
- The documents are in PDF format.
- The document arrives directly from the institution's email address 91青青草 University Admission Services (admissions@aalto.fi). Documents forwarded by the applicant will not be accepted.
We do not accept documents sent by email that do not meet the above requirements. If the sender's email address is not on the official public website of the institution, we will not accept the document.
Aalto University does not request documents from institutions, it is the applicant's responsibility to submit their documents by one of the approved methods.
Please give the above instructions to your university when requesting sending your documents.
Please note that submitting your documents through one of the recognised verification services or as certified physical copies is more reliable.
See below the instructions for certified hard copies. Any country-specific requirements will override these instructions. If none of the electronic options above are available to you, you must send your officially certified educational documents as physical hard copy documents to the Admission Services.
Copies of educational documents (a degree certificate and a transcript of records, if the transcript is not original) must be certified by the awarding university or by a notary public.
The certified copies must be delivered as hard copies either by mail, courier service or delivered in person.
The copies must be taken from the original, official documents. A multiple-page certified copy must be certified on the front side of every page. Each page must have the certifying official鈥檚 original signature, printed name, ink stamp and date. Copies of officially certified copies are not accepted, the certifying official鈥檚 ink stamps and signatures must be original. A note declaring official copy status (such as a 鈥淭rue copy鈥 stamp) is insufficient.
An apostille stamp or certificate is not required.
Application documents will not be returned, do not send your original degree certificate.
Aalto University Admission Services does not take copies of documents nor certify them.
Submitting the certified hard copy documents
Sending documents by courier service
We strongly recommend using a courier service (e.g. DHL, UPS, TNT, FedEx) for shipments from outside the European Union (EU) instead of regular mail. We recommend using a courier service also within the EU to be able to track your shipment.
If you send documents from outside the EU:
- Send the consignment of documents as a letter. Do not send it as a parcel.
- Do not determine a value for the letter when sending it to avoid customs clearance.
If the country of dispatch requires the consignor to determine a value for the consignment of documents, mark the value as zero (euros or other currency). - The goods description for the consignment should be, for example, documents.

Delivering documents in person
If you are in Finland and want to deliver the documents in person, you can bring them in a closed envelope to the mailbox of Admission Services. The white mailbox of Admission Services is located at Otakaari 1, Floor 1, in the corridor in front of Room Y198. The mailbox is labelled with the name "Admission Services". You can deliver the closed envelope during the building's opening hours. Do not leave the documents anywhere else. The Admission Services mailbox is the only place to leave the documents in the campus area.
Submit your documents in the required manner and so that they arrive by the deadline
All documents must arrive at Aalto University Admission Services by the given deadline. (See "deadline" above).
Conditionally granted study right will be cancelled if the documents arrive late. Belated documents cannot be considered even if the delay took place irrespective of the applicant. Applicants are responsible for submitting the documents in the required manner and meeting the deadline. This also applies when the documents are sent via a third party, such as a postal service. The documents must arrive by the deadline; the postmark date is irrelevant.
Aalto University is not responsible for services provided by post or courier services or any delays or damage caused by them.

Country-specific document requirements
There are country-specific document requirements for educational documents awarded in certain countries (after admission).
If the country-specific requirement concerns one document only (e.g. transcript of records), the rest of the educational documents must be submitted according to the general document instructions.

Applying to master鈥檚 programmes
Admissions to two-year master鈥檚 programmes at Aalto University are once a year.
The application period for studies beginning in the autumn of 2025 runs from 28 November to 27 December 2024.
